Workfront Admin

  • The Global System Administrator “owns” the DDB instance of Workfront across the enterprise, and is set as the System Administrator in the Workfront System Settings in the DDB instance.
  • Responsible for inter-team/office and instance-wide governance, meeting with the Local Administrators appointed within individual offices on a regular basis.
  • Serves as an expert point-of-contact for Local Administrators should questions or issues arise.

About the role.

  • Lead the integrated planning process for key clients/projects, bringing in the optimal mix of analytic, strategy, creative, tech, account representation to craft compelling communications strategies. You Must Have:

The Role

 

Reporting to the Account Director, the Account Coordinator is to assist the Account Service team in the management of the client/brand business. The focus of this role is on improving communication internal and external.

 

Responsibilities

 

  • Understands the process from A to Z; not only how things get done, but why. Is active vs. passive in their pursuit of this knowledge
  • Understands simple agency financial management (revenue, expenses, profit)
  • Works with Account Executive or Project Manager to proactively anticipate budget issues
  • Accurately prepares and issues all status, contact reports, meeting notes and budget reports and issues them to the client and agency team
  • Helps monitors timelines and budgets on projects, alerting supervisor of any potential problems
  • Maintains and is the keeper of all relevant brand information (e.g. client/agency briefs, reels, timing, plans, estimates, reconciliations, research results, etc.).
  • Helps the Account Executive set up all client and internal meetings, ensuring reference documents are available and all necessary attendees are present
  • Understand client and agency structure; how and why decisions are made, who makes them and what’s important to them
  • Focuses on delivery and understanding the importance of managing client expectations
  • Helps to proof read all presentations, layouts and final art to ensure accuracy
  • Manage the administration aspects of projects (opening dockets, status reports, client lists, updating brand bible)
  • Assist in research preparation if needed
  • Develop and maintain good working relationships with agency partners and all agency departments (creative, production, project management, studio, media, finance) through their delivery and focus on detail
  • Play a support role in the agency’s pursuit of new business

The Role

 

We are looking for an experienced client services professional to join our team supporting our Health & Pharmaceutical Clients. Role of the Account Supervisor is a strong partner to their clients, Account, Creative & Strategy Directors, as they have a clear understanding of where the client’s business needs to be, and how their team can help deliver.  In addition, they plays a vital role in the training and development of the Account Executive and/or Account Coordinator:

 

  • Day to day account lead on all brand activities
  • Approaches creative with enthusiasm and stimulates creative thinking with their clients and agency team.
  • Ensures agency systems and procedures are adhered to and/or improved to ensure client expectations are fulfilled while agency profitability is protected.
  • Works with the account director to develop tactical briefing documents and brief the project management and creative team on projects
  • Proactively consults with key departments and divisions to keep them informed of upcoming workload; keeps account lead informed so there are no surprises.
  • Has a sense of fiscal responsibility, works with the account executive, project manager and finance manager to keep the fiscal side of the account running responsibly (participating in monthly billing meetings, reading job sums, initiating change orderds, overseeing job transfers and estimate process) and assists the Account Director in developing scopes of work.
  • Contributes to new business pitches, as needed.
  • Attend research sessions, assesses and analyzes primary and secondary research and develop appropriate recommendations as needed.
  • Prepares team for Springboard sessions, sharing target audience, product and competitive information, while identifying potential client issues and offering solutions/uncovering opportunities.
  • Collaborates with Account Director and Strategic Planners to ensure the development of provocative, single-minded communications strategies.
  • Helps to manage support staff (Account Executive, Account Coordinator)
  • Forms strong bonds with clients; earning their respect and confidence
  • Knowledgeable in both offline and online
  • Other duties as required

 

Qualities & Qualifications

  • 3-5 years of relevant Agency experience.
  • A post-secondary degree or diploma.
  • A background which includes Science or Health.

The Role

 

We are looking for an experienced client services professional to join our team supporting our Health & Pharmaceutical Clients. The role of an Account Executive on our team looks something like the following, although this may not be an exhaustive list:

 

  • Clearly summarize all communication with client (contact reports) and communicate key decisions to the team
  • Prepare for all client and internal meetings, ensuring reference documents are available and all necessary attendees are present
  • Learn the client’s business and competitive landscape and be prepared to participate in client meetings
  • Help prepare POVs as required through online research
  • Develop presentation decks to communicate with clients and other parties
  • Works with the account director to develop tactical briefing documents and brief the creative team on projects
  • Help the Account Director manage all financial aspects (setting up monthly billing meetings, reading job sums, preparing job transfers, estimating tactical projects) of the account, including profitability
  • Assist in research preparation, attend research sessions and communicate results to the team
  • Develop and maintain good working partnerships with clients, agency partners and all agency departments (creative, production, project management, studio, media, finance)
  • Play a key role in the agency’s pursuit of new business
  • Learn and follow all client processes and guidelines and ensure that all team members do as well
  • Work with Project Manager to develop and maintain all client timelines
  • Clearly summarizes meeting notes for all internal meetings and distributes to the team
  • Assists in strategic planning preparation and strategy sessions as required
  • Attend and participate in studio briefings as needed

  • 2-3 years of relevant Agency experience.
  • A post-secondary degree or diploma.
  • Experience in, or with, Pharmaceutical companies. U.S. experience a definite asset.
